Privacy Policy

CargoMind Enhance for Gmail · Last updated: 26 June 2026

This Privacy Policy describes how NextGen – Extended Workforce Solutions ("NextGen", "we", "our", "us") collects, uses, and protects information when you use the CargoMind™ Enhance add-on for Gmail (the "Add-on"). It supplements the general NextGen Privacy Statement; where the two differ in relation to the Add-on, this policy controls.

1. Data the Add-on Accesses

To provide its functionality, the Add-on requests access to the following Google user data through Gmail add-on scopes:

Data accessedWhy it is needed
Content of the email message you currently have open, including subject, body, sender/recipient addresses, and attachments To extract shipment details (booking numbers, container/BL numbers, ports, dates, parties) and surface relevant CargoMind information for that message
Your email address and basic Google profile To identify your session and link your activity to your CargoMind account

Confirm before publishing: this is drafted for an add-on that reads message content and attachments on the messages you open (the typical Gmail add-on contextual scopes). If your build also sends or drafts mail, or reads mail in the background, add those scopes and purposes here, since OAuth verification compares this page against your requested scopes.

2. How We Use the Data

We do not use Gmail data for advertising, and we do not sell it.

3. Data Processing and Storage

Email content accessed by the Add-on is transmitted securely to the CargoMind backend, hosted on Microsoft Azure, solely to perform the extraction and workflow actions described above. Extracted shipment fields needed to create or update CargoMind/CargoWise records may be retained as part of your operational records; the raw email body is processed transiently and is not retained beyond what is necessary to complete the requested action.

Confirm before publishing: adjust this section to match your actual retention. If you log raw message content anywhere, or send content to a third-party AI provider, you must disclose that here (provider name and purpose). If nothing is stored at all, state "processed in transient memory only and not stored."

4. Data Sharing

We share Add-on data only as needed to operate the service:

We do not transfer Gmail data to third parties for their own purposes.

5. Google API Services — Limited Use Disclosure

CargoMind Enhance's use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

6. Security

We apply technical and organisational safeguards including encryption in transit (TLS), access controls, and least-privilege handling of credentials. No method of transmission or storage is completely secure, but we work to protect your information against unauthorised access, alteration, or destruction.

7. Data Retention and Deletion

You can revoke the Add-on's access at any time from your Google Account permissions page (myaccount.google.com/permissions) or by uninstalling the Add-on. To request deletion of any associated data held in CargoMind, contact us at the address below.

8. Your Rights

Depending on your jurisdiction (including under the Philippine Data Privacy Act and the GDPR), you may have rights to access, correct, delete, or restrict processing of your personal data, and to withdraw consent. To exercise these, contact info@nextgen-bpo.com.

9. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes are reflected by the "Last updated" date above. Continued use of the Add-on after changes take effect constitutes acceptance.
